Frequently used numbers are stored in the Phonebook. You can then dial these numbers directly from the Phonebook. You can filter the phone book according to various criteria by clicking on the relevant button:
All: all contacts are displayed here.
Users: here you can see all SwyxWare users, see Status signaling.
Group: here you can see all SwyxWare Group.
Global: Here you can see all global SwyxWare server phonebook entries without SwyxWare users and groups.
Personal: Your personal phonebook entries are displayed on this tab.
When saving and processing personal data, observe the respective applicable legal data protection regulations. If you have any questions especially regarding data protection in SwyxWare, please contact your administrator.
Personal data cannot be deleted automatically. In order to meet the valid data protection regulations, it may be necessary to delete the entries manually.
Status Signaling
The phone book provides you with information on whether
the subscriber can currently not be reached, is absent or logged off, or does not want to be disturbed.
the subscriber’s line is busy.
To search through the phonebooks and contacts
1 Click on in the menu bar.
The phonebook appear.
2 If necessary, select a tab (All, Users, Groups, Global or Personal).
3 Enter the name or part of the name you want to search for in the search field.
SwyxIt! displays all entries that contain the search text. The more characters you enter, the more the search is restricted.

3 Use the arrows under the displayed entries (, , ) to scroll through the phone book.
4 Click on the desired entry to highlight it.
You can dial the contact directly by double-clicking or clicking on .
To set the number of entries displayed per page
1 Click on in the menu bar.
The phonebook appear.
2 Click on the number next to Items per page.
3 Select a number in the pop-up window.
4 The selected number of entries per page appears in the phone book.
To start a call from the phone book
1 Click on in the menu bar.
The phonebook appear.
2 If necessary, select a tab (All, Users, Groups, Global or Personal).
3 Enter a name or number in the search field.
The contacts are filtered.
4 Move the mouse pointer over the line of the corresponding contact and click on under Action.
or
4 Double-click on the desired entry.
The call is initiated.
To start a chat from the Phonebook
1 Click on in the menu bar.
The phonebook appear.
2 If necessary, select a tab (All, Users, Groups, Global or Personal).

2 Enter a name or number in the search field.
The contacts are displayed.
3 Move the mouse pointer over the line of the corresponding contact and click on under Action.
Swyx Messenger opens and you can use the instant messaging function.
You can save personal phone numbers in the phone book. All your personal contacts are listed under the Personal tab. Here you can search, manage or call your contacts.
Only you can access your personal contacts from all devices on which you are logged into SwyxIt!.
To add a personal contact
1 Click on in the menu bar.
The phonebook appear.
2 Click on .
3 Under Name, enter the name that should be displayed for the contact in the phonebook.
4 Under Number, enter the phone number you want to save for the contact.
5 Activate the Private option if necessary. This option is exclusive to the Personal Phonebook.
The new entry is then only used on your side for name resolution, e.g. in your lists or in case of an incoming call. If not, only the number will be displayed.
The Private option is activated by default. If you deactivate this option, the name of the contact will be resolved for all users to whom your incoming calls are signaled.
6 Click on Add.
The contact is saved in the phonebook.
To edit a personal contact
1 Click on in the menu bar.
The phonebook appear.
2 Click on Personal.
Your personal contacts are listed.
You can find a contact using the search function or scroll through the phonebook using the arrows under the displayed entries (, , , ).
3 In the list, right-click on the entry you want to edit.
4 Change the desired details.
The Private option is activated by default. If you deactivate this option, the name of the contact will be resolved for all users to whom your incoming calls are signaled.
5 Click on Save.
The changed details are saved in the phonebook.
To delete a personal contact
1 Click on in the menu bar.
The phonebook appear.
2 Click on Personal.
Your personal contacts are listed.
You can find a contact using the search function or scroll through the phonebook using the arrows under the displayed entries (, , , ).
3 In the list, right-click on the entry you want to delete.
